Job Description: Administrative Assistant

Reports to: Head of School

Non-Exempt: Compensation: starting rate $25.00 hourly - End rate $30.00

The Administrative Assistant professional is responsible for a diverse set of administrative tasks; creating and maintaining a welcoming, warm, celebratory, family culture throughout the school; the Administrative Assistant is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. The Administrative Assistant is responsible for providing office management services ensuring accurate attendance accounting, resolving attendance related issues, ensuring compliance with state reporting and documenting requirements, conveying attendance related information to appropriate parties, and providing general clerical support, information and/or direction as may be assigned at assigned school site.

Job Duties:

● Maintains office services by organizing office operations and procedures; preparing payroll timecards; preparing purchase orders; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

● Provide effective methods of management to ensure excellent customer service

● Liaise with school site administrators for integration of the organization’s goals and visions into their daily business activities

● Communicate effectively to other members of staff in the office, the vision and goals of the organization to ensure full compliance

● Ensure that all substitute request have the required credentials to be in a classroom ● Properly review and monitor projects of the school to ensure such are promptly completed as and when due and within set limits

● Ensure that all events/projects are planned in a timely manner (start to finish)

● Develop school communications in English and Spanish, writes letters and reports

● Completes operational requirements by scheduling and assigning employees; following up on work results.

● Keeps management informed by reviewing and analyzing special reports; summarizing information

● Prepares and/or maintains a variety of records and reports requested by APS Executive Team and Head of School e.g. enrollment reports, immunization reports...

● Monitor enrollment to assure that all grade levels are at capacity and accurately report number of enrolled students

● Support and assist the attendance clerk with attendance accuracy to ensure accurate submission of reports

● Manage school supplies inventory and purchase as needed

● Create working environment harmonious for all

● Train new recruits to fully inculcate into them the organization’s culture

● Support the outreach team and other relevant teams to bring up and implement plans to ensure effective continuous growth

● Execute various paperwork, files processing, submit reports and other daily administrative tasks

● Contributes to team effort by accomplishing related results as needed

● Responsible for ensuring PowerSchool and Schoolmint data is accurate and submitted on time; enrollment, attendance P1,P2, CALPADS and among others

● Ensure Immunization data is submitted on time to be in compliance

● Track and report site specific parent and volunteer engagement participation (i.e., parent conferences, classroom meeting night, daily volunteer activities)

● Interpret/Translate: Assist in translating school documents and in-person at conferences and other school activities/events, as requested by the administration

● Emergency Preparedness: support head of school and schools operation manager by coordinating and maintaining emergency drills at least once a month, and distributing and updating monthly emergency rosters

● Parent Engagement: assist school operations manager, parent liaisons, and/or administrators in coordinating events (e.g., science fair, picture day, Fall Festival, classroom meeting nights, wellness committee meetings, etc.)

● Student Recruitment and Enrollment: support collection and processing of prospective student lottery forms/enrollment forms, manage the waitlist and correspondence with families, and represent Alta in recruiting efforts to preschools and other organizations (including school visits)

● Other duties as assigned consistent with this position as assigned by the Head of School and APS Executive Team

● Lead weekly meeting with the front office

Job Type: Full-time

Pay: $25.00 - $30.00 per hour

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekend availability

Ability to commute/relocate:

  • Huntington Park, CA 90255: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Customer service: 1 year (Preferred)
